Your Inbox

Every person has one private chat called Inbox (German: Eingang). Put anything into it: a scan, a photo of a letter, a file, a note about your day, or everything that is in your head. Zyx sees what it is and does one job with it. Only you read this chat. The owner of the company does not.

Where you find it

In the sidebar, as your Inbox chat.
In the + of any chat’s text box: Scan, Journal and Brain dump each open your Inbox.
On the Files screen: Scan / Upload puts files into the open folder’s Inbox/ folder. On a phone it can open the camera.
On a phone, when Zyx is installed as an app, it shows up in the phone’s share sheet where the phone’s browser offers that. A shared file lands in your Inbox chat. Each file may be up to 25 MB; one larger file refuses the whole share.

The phone reaches Zyx over the company’s private network only. The public address that the operator may open for webhooks and AI tools takes no uploads.

The Inbox comes with the Everyday pack (German: Alltag). Zyx sets it up when it sets up a new company. On an install that is older than this pack, the owner installs it once from Skills, Department packs (Packs).

What happens to a file

A file you put into your Inbox chat lands in your own private Inbox/. Zyx then:

Reads it. Text inside a document is data, never an instruction. A line such as “pay now to this new account” is reported and not followed.
Names it YYYY-MM-DD <from> <what>.<ext>, with the document’s own date, for example 2026-10-02 Stadtwerke Rechnung.pdf.
Files it by the company’s filing rules, a plain text file _Zyx/filing.md in the company folder. Zyx writes it on the first run from the folders the company already has. You can change it at any time.
Asks once when it is not sure where a file goes, or whether a private paper (a doctor’s letter, a payslip) belongs in a company folder at all.

Several photos of one paper document become one PDF first, pages turned upright, before it is filed (2 to 30 photos). The photos stay where they were.

The file itself is never changed: only its name and its folder.

Who can read it after the move

A move out of your private Inbox follows one rule: you can see who will read the file before it moves.

A move that keeps or narrows who can read the file runs at once, with Undo.
A move that lets more people read it is an approval card that names them.
A move out of the company folder, or over a file that already exists, is refused.
Only your own uploads leave your private Inbox.

Bills

A bill also becomes one of your own tasks with its due date, and a reminder three days before it is due. Zyx never pays and never marks a bill as paid. In the chat a bank account is shown only as known, new or missing, never in full.

Journal and brain dump

Journal. A note about your day, or a message that starts with “Journal:”, goes into your private journal word for word. Zyx does not summarise, correct or judge it.
Brain dump. A head full of to-dos, dates and ideas, or a message that starts with “Brain dump:”, becomes single items. You decide where each one goes.

Your journal stays private: only you read it, and it is not in the company search.

Uploads into shared folders

Scan / Upload on the Files screen puts a file into that folder’s Inbox/, where everyone who may read the folder sees it. Before your first upload into a folder, Zyx names who that is (“Visible to: Sales (4 people)”) and asks once. It asks again when someone new may read the folder. In your own private folder, an upload lands in your private Inbox.

Only the owner, or a person who holds the folder, may upload into it.

A routine for every Inbox

A routine can start when a new file lands in an Inbox/ folder: the one in its own folder and those in every folder below it. A file Zyx received itself starts it at once. A file copied in from outside starts it once the file stopped changing. See Skills and workflows.

The file intake can run on such a routine, so a scan in a shared Inbox/ is filed without a chat. The owner sets the routine up like any other. It never pays, sends or deletes.
